Organize around the questions

Create clear folders for company formation and governance, capitalization, financials, material contracts, intellectual property, people and the proposed financing. Add a short index showing the current version, owner and status of each item. Explain missing items openly and give a realistic completion date instead of burying gaps in a large upload.

Reconcile the important numbers

Use the same reporting periods and definitions across the pitch, model, customer evidence and financial statements. Reconcile the cap table with signed documents and payment records. Identify draft documents clearly. A small, well-maintained collection is easier to review than several conflicting versions of every file.

Control access deliberately

Use a secure document provider with appropriate permissions. Share sensitive information only when needed and with the right reviewers. Do not upload customer personal information, passwords or confidential records into a public campaign page. Make updates someone’s responsibility

Assign one owner for each folder and one person for overall consistency. Keep a change log when new financial results, material contracts or financing terms arrive. Confirm with counsel what must also be reflected in offering disclosures. Before closing, preserve the final document set and a record of signed agreements.
